The Verify module allows users to perform manual verification of indexed document fields for all documents within a scanned batch. This step is essential to ensure that the captured metadata—such as invoice numbers, dates, and amounts—is accurate and aligned with business validation rules before archiving or exporting.
Once documents have been initially indexed (either manually or using OCR), the Verify stage ensures quality control by comparing the entered or extracted values against expected values or business logic.
Users can review each document in a batch and verify the accuracy of previously captured index values. If a field needs correction, users can:
Manually re-enter the correct value.
Use OCR by drawing a zone over the document image to automatically re-extract
and replace incorrect values
During verification, each index field is validated against predefined rules—such as format, type, and required fields. If there's a mismatch or invalid entry, the system immediately notifies the user for review and correction.
OCR Re-Zone SupportAs seen in the image, users can highlight areas (e.g., Invoice Number, Invoice Date) on the document to trigger zone-based OCR. This is especially useful when the original index process failed to extract the correct value or if data has changed.
Certify Value FunctionalityThe system may support certifying a field where the verified value is officially confirmed to be correct. This ensures audit-readiness and downstream system compatibility.
Supported Index Field Types Include:Used for names, codes, invoice numbers, or descriptions. Text fields support format checks and required conditions.
NumberIdeal for invoice totals, item quantities, or reference numbers. Only numeric values are accepted and can be validated for range.
DateDesigned for capturing invoice dates, due dates, and delivery dates. The system supports date format validation (e.g., DD/MM/YYYY).
Lookup ListA dropdown or predefined set of values (e.g., client names, departments). Helps standardize entries and avoid spelling errors.
Certify Value with Index FieldThe system may support certifying a field where the verified value is officially confirmed to be correct. This ensures audit-readiness and downstream system compatibility.
