Terms & Conditions

How GreatHR may be used, and how your information is handled. Last updated 27 October 2026.

GreatHR is operated by DeSoftUK ("we", "us", "our"), the company behind docview.ai and DocView Capture. GreatHR is a workforce platform for attendance, leave, projects and tasks, and payroll, provided to organisations for use by their staff. By signing in to or using GreatHR you agree to these terms. If you are using GreatHR as an employee, your use is also subject to your own organisation's policies.

1. Terms of Use

1.1 Accounts and access

Access to GreatHR is through an account created by your organisation. You are responsible for keeping your sign-in details confidential and for activity that happens under your account. Tell your administrator at once if you believe your account has been used without your permission. We, or your organisation, may suspend or withdraw access where it is reasonably necessary — for example on leaving the organisation or where these terms are broken.

1.2 Acceptable use

You agree to use GreatHR only for its intended business purpose, and not to:

  • enter information you know to be false, or record attendance or work time that is not genuine;
  • try to access data, accounts or organisations that are not yours;
  • attempt to disrupt, probe or circumvent the security of the service;
  • copy, resell or redistribute the service or its content except as your role requires; or
  • use the service in breach of any applicable law or your organisation's policies.

1.3 Your organisation's data

The information entered into GreatHR — staff records, attendance, leave, tasks, documents and the like — belongs to your organisation. We process it on your organisation's behalf to provide the service, as described in the Privacy & Cookie Policy below. We do not claim ownership of your organisation's data and we do not sell it.

1.4 Availability and changes

We work to keep GreatHR available and reliable, but we do not guarantee that it will be uninterrupted or error-free, and access may occasionally be paused for maintenance or for reasons outside our reasonable control. We may add to, change or remove features over time to improve the service.

1.5 Intellectual property

GreatHR, its software, design and branding are owned by DevSoftUK or our licensors and are protected by law. These terms do not transfer any of those rights to you; you are granted only the right to use the service for your organisation's business while your access is active.

1.6 Liability

Nothing in these terms limits liability that cannot be limited by law (such as for death or personal injury caused by negligence, or for fraud). Subject to that, GreatHR is provided on a reasonable-efforts basis, and to the extent permitted by law we are not liable for indirect or consequential loss, or for loss of profit, data or goodwill arising from its use. Your statutory rights are not affected.

1.7 Changes to these terms

We may update these terms from time to time; the date at the top shows when they were last changed. Continuing to use GreatHR after a change means you accept the updated terms.

1.8 Governing law

These terms are governed by the laws of England and Wales, and the courts of England and Wales have non-exclusive jurisdiction over any dispute arising from them.

2. Privacy & Cookie Policy

2.1 Who controls your information

When your organisation uses GreatHR, your organisation decides what information is held and why — it is the data controller. DevSoftUK acts as the data processor, handling that information only to provide the service and on your organisation's instructions. For questions about your own records, please speak to your organisation's HR or administrator in the first instance.

2.2 What we process

  • Account details — your name, work email or mobile number, and your encrypted password, used to sign you in.
  • Workforce data — attendance punches, breaks, leave, shifts, tasks and time logged, salary and payroll data, and documents your organisation records.
  • Technical data — basic sign-in and activity logs (such as the time and device of a sign-in) kept for security and support.

Passwords are stored only as a secure one-way hash — never in plain text — and we never ask for your password by email or phone.

2.3 How it is used

We use this information to run the features you use, to keep the service secure, and to provide support. We do not sell your information and we do not use it for advertising. We share it only with the service providers that help us run GreatHR (for example hosting and messaging), under appropriate confidentiality and data-protection terms, or where the law requires.

2.4 Retention

Information is kept for as long as your organisation uses GreatHR and as long as needed for the purposes above or to meet legal obligations. Your organisation controls its own records and may correct or remove them in line with its policies.

2.5 Cookies

GreatHR uses only the cookies it needs to work — chiefly a secure sign-in cookie that keeps you logged in, and a small number that remember preferences such as a chosen filter. These are essential to the service; we do not use advertising or third-party tracking cookies.

2.6 Security

We take reasonable technical and organisational measures to protect your information, including encrypted connections, hashed passwords and access limited by role. No online service can be guaranteed completely secure, so please help by keeping your password safe.
